We are serious about skincare, but also make sure we have fun along the way! The Office/Personal Assistant will work closely with the owner as well as the other team members, reporting to the owner.
This position requires the ability to work closely with the public, have good communication skills, be organized, flexible, friendly, professional, able to multi-task and ensure a high standard of confidentiality.
The hours for this job will be primarily daytime hours Monday through Friday with an occasional Saturday and occasional community events that can occur on a weekend day or in the evening.
It is approximately 25-28 hours per week with the potential for more in the future.
Essential Functions:
Assist the owner and other team members with daily tasks, including scheduling appointments, checking clients in/out, tracking inventory, ordering supplies and products, preparing and sending monthly email blasts, light cleaning, and other office duties as necessary.
Must be able to manage multiple calendars and answer phone calls and respond to emails in a timely fashion.
Be willing and able to learn about skincare treatments and products in order to best serve the needs of the client.
Prepare client charts, enter client chart notes into the computer, upload photos into client charts, filing of charts.
Perform other duties as assigned by the owner.
Requirements:
High School Diploma or GED required.
1-2 years of experience in an office/spa/salon environment preferred.
Med spa/Day spa experience a plus.
Ability to work well with the public while maintaining confidentiality.
Working knowledge of Microsoft Office preferred but not required.
Excellent verbal and written communication skills required; ability to speak with individuals on the phone and in person in a friendly and professional manner.
Must be able to multi-task while maintaining focus.
